With thousands of locations and multi-level management structures, large retail chains need a centralized system to manage data and technology.

Xaris is a brand specializing in automation in various sectors, including Retail, Petrol and HoReCa.

Together with Xaris, we work with the largest networks in the CEE region to achieve this goal through effective communication between employees and various FMCG systems.

The Challenge

One of the main systems integrated into Xaris is the employee headset system. On-site FMCG systems, such as coffee machines, ovens, grills, BMS (temperature, humidity) systems, and cash register systems, often require an employee response.

To ensure that employees receive notifications directly in the headsets, without broadcasting them to customers, it was necessary to integrate all these systems seamlessly with the headsets.

Commhaven's Solution

Since neither the headset nor the other integrated systems were “smart” devices with ready-made APIs, the challenge required a custom approach involving embedded development and R&D.

The process involved creating a repeatable method of capturing notifications, collecting them in a central Xaris system, structuring them, and then sending only the relevant ones to the employee's corresponding headset.

Integration stage

Connection of the headset system to the central management system and tests based on sample notifications.

Integration of external systems

Each external system, such as a coffee maker signaling the absence of coffee, required an individual approach, since many notifications were not available digitally.

Tests

The extended test phases ensured reproducibility of the results.

Centralized management of notifications

All notifications are analyzed and structured in the central Xaris system, which then filters them and transmits only the relevant ones to the headset system.

Outcome

As a result, there was no need to configure each external store system separately with headsets. Once different devices started sending all their notifications to one central cloud location, they could be easily routed to different headsets. Depending on the needs of the solution, new functionalities could be flexibly integrated.
